1. CANCELLATIONS

CANCELLATION 30 DAYS PRIOR – OR 06 DAYS AFTER TRIP CONFIRMATION

Operational Fees and Tickets (Entrance & Train)

  • If a cancellation request is received 30 days prior to the travel date or 05 days or more after the confirmation has been sent, it will be subject to an operational penalty fee of US$ 45.00 per person.
  • Entrance tickets to Wayna Picchu, Machu Picchu Mountain, and Machu Picchu are subject to a 100% penalty, therefore these amounts are non-refundable. These policies are established by the Ministry of Culture.
  • Train tickets are subject to an additional 15% penalty of the original ticket value, according to the policies established by INCA RAIL and PERU RAIL.
  • Hotel reservations are subject to the policies and cancellation terms of each individual establishment.

CANCELLATION LESS THAN 30 DAYS PRIOR – OR 04 DAYS AFTER TRIP CONFIRMATION

Operational Fees and Tickets (Entrance & Train)

  • If a cancellation request is received less than 30 days prior to the travel date or 04 days after the confirmation has been sent, it will be subject to an operational penalty fee of US$ 45.00 per person.
  • Entrance tickets to Wayna Picchu, Machu Picchu Mountain, and Machu Picchu are subject to a 100% penalty and are therefore non-refundable, according to policies established by the Ministry of Culture.
  • Train tickets are subject to an additional 50% penalty of the original ticket value, in accordance with the policies established by INCA RAIL and PERU RAIL.
  • Hotel reservations are subject to the cancellation policies of each individual establishment.

LAST-MINUTE CANCELLATION – 72 HOURS

  • If a cancellation request is received within 72 hours prior to the travel date, a 100% penalty will apply.

SPECIAL CASE – INCA TRAIL

  • In the case of cancellation of the Inca Trail service only, once the service has been confirmed, no refund will be granted, due to the special characteristics and regulations of this service.

SPECIAL CASES BEYOND OUR CONTROL

  • In the event of a cancellation due to circumstances beyond our control, such as natural disasters, protests, strikes, emergency decrees, or any event that makes it impossible to operate a previously scheduled tour, a 50% penalty of the agreed total amount will apply.

2. REFUNDS

The refund process also depends on third-party providers (Hotels – Trains – Entrance Tickets – Flights).

    • In the case of train tickets, the refund request must be processed in person, and the supplier companies may take approximately 20 days to process the claim.
    • For entrance tickets, only date changes are allowed. However, in special circumstances, the process may take approximately 15 days.
    • For hotels and flights, refunds are subject to the policies of each respective provider.
  • Refunds will be issued through the same payment method used for the original transaction.
  • For payments made by credit card or bank transfer, the processing time is approximately 15 days.

3. DATE CHANGES

DATE CHANGE 30 DAYS PRIOR – OR 05 DAYS AFTER TRIP CONFIRMATION

Operational Fees and Tickets (Entrance & Train)

  • If a date change request is received 30 days prior to the travel date or 05 days or more after the confirmation has been sent, it will be subject to an operational fee of US$ 0.00 per person (no operational penalty).
  • Entrance tickets to Wayna Picchu, Machu Picchu Mountain, and Machu Picchu are subject to a US$ 15.00 penalty per person, according to the policies established by the Ministry of Culture.
  • Train tickets are subject to an additional 5% penalty of the original ticket value, in accordance with the policies established by INCA RAIL and PERU RAIL.
  • Hotel date changes are subject to the policies of each individual establishment.

DATE CHANGE LESS THAN 30 DAYS PRIOR – OR 03 DAYS AFTER TRIP CONFIRMATION

Operational Fees and Tickets (Entrance & Train)

  • If a date change request is received less than 30 days prior to the travel date or 03 days after the confirmation has been sent, it will be subject to an operational fee of US$ 0.00 per person (no operational penalty).
  • Entrance tickets to Wayna Picchu, Machu Picchu Mountain, and Machu Picchu are subject to a US$ 15.00 penalty per person, in accordance with the policies established by the Ministry of Culture.
  • Train tickets are subject to an additional 10% penalty of the original ticket value, according to the policies established by INCA RAIL and PERU RAIL.
  • Hotel date changes are subject to the policies of each individual establishment.

SPECIAL CASE – INCA TRAIL (DATE CHANGE)

  • In the case of a date change for the Inca Trail service, changes may be made subject to availability, with a penalty fee of US$ 120.00 per person.

4. PRICES AND RATES

  • All tour prices and rates are expressed in U.S. dollars (USD).
  • Our prices may vary during holiday seasons such as Easter, Christmas, and New Year. Any price variation will be communicated in advance by a company representative.
  • Tour package prices are per person, based on double occupancy in a standard room at all hotels, and include the specified services, transfers, indicated excursions, specialized guides, and entrance tickets (unless otherwise stated).
  • Prices do not include additional expenses such as tips, airport taxes, airfare, excess baggage fees, or any other service not specifically mentioned in the program.
  • If the personal information provided by the client for the reservation is incorrect, or if there are any changes and/or updates to personal data (such as passport information), the client must immediately inform the agency by email. We will proceed with the necessary updates; however, these changes may generate a data modification penalty established by the service providers. Any such costs will be assumed by the client.

5. VISAS, DOCUMENTATION, PERMITS, AND INSURANCE

  • All clients, at the time of contracting the services of Peru Green Luxury, agree to obtain at their own expense the valid documents and permits required to carry out the activities included in the itinerary. Clients must also carry during the excursions the same identification documents whose details were provided at the time of booking.
  • All clients agree to allow the company representative to take a copy of their personal documents (Passport, ID Card, National ID, etc.). The company will keep this information confidential and will use it solely for accounting and administrative purposes.
  • In accordance with current Peruvian law, a tourist may not remain in the country for more than 60 days as indicated on their TAM card. Therefore, if a foreign client traveling remains in Peru for more than 60 days, they will be required to pay the additional 18% VAT (IGV) on the total value of the tour.

6. ITINERARIES

  • The itineraries are carefully planned; however, for operational reasons, it may be necessary to modify the order of activities or the specified route. Although such situations may occur occasionally, the itinerary should be considered as a general guideline only.
  • The company reserves the right to make changes, without prior notice, to the order of excursions or travel arrangements due to weather conditions, river levels, arrival or departure times of flights, buses or trains, or any other relevant reason. These modifications will always be made to ensure passenger safety and the proper development of the trip.
  • In the event that itinerary activities are modified, rescheduled at the last minute, or canceled due to flight delays, social conflicts, adverse weather conditions, road blockages, or any other inconvenience caused by third parties, the company is not responsible for issuing refunds to clients.

7. RESERVATIONS

  • To make a reservation, the company requires a 50% deposit of the total tour cost, to be paid by the client using the authorized payment methods provided by the sales agent.
  • The remaining 50% balance must be paid in cash (USD) on the first day of arrival in the city of Cusco to the assisting staff.
  • To confirm the reservation, the following information for each traveler is required: Full Name, Passport Number, Nationality, Age, Gender
  • Clients are also advised to inform the company of any allergies, medical conditions, special needs, personal characteristics, or dietary preferences.
  • Once the deposit has been made, the sales agent will send a confirmation email for the selected tour package. This email serves as a guarantee document of the reservation. After receiving the confirmation, the client must carefully review the details and respond to the email to confirm acceptance.
  • If the reservation includes hotel accommodation, hotel confirmation is subject to availability. In the event that the specified hotel is unavailable, the client will be offered another hotel of similar category and price.
  • The company reserves the right to accept last-minute reservations (within 24 hours prior to the client’s arrival at the destination). In such cases, the company will clearly state any special conditions applicable to the reservation, including special schedules if necessary. These conditions must be mutually agreed upon and confirmed via email.
